Job Security Roles

Job Security Roles determine how jobs may be actioned depending upon skillgroup membership

Job security roles define the security level for each staff member per skillgroup they are associated with. Staff can belong to multiple skillgroups, and with job security roles system administrators can control the level of access the staff member has to each of the skillgroups to which they belong.

For example:

A staff member might have full-control for one skillgroup, but have only basic read-only permissions in another skillgroup. The following diagram describes this relationship between staff, skillgroups and job security roles.

Create new, update existing, or delete Job Security Roles

To create new, update, or delete job security roles go to Administration (ribbon toolbar) > Skillgroups / Security (section) > Job Security Roles (option). Use the toolbar buttons New, Update and Delete or double click a job security role to update it.

When creating a new role, be sure to enter a descriptive Name and provide a detailed Description of the Job Security Role so that there is no confusion as to what access and restrictions the staff member will have when assigned that role.

Able to be assigned Jobs for this skillgroup: This setting applies to all sub-tabs. If unchecked, jobs will not be able to be assigned to the staff member but the selected permissions will still apply to other peoples and unassigned jobs of the skillgroup, according to selections made.

From the Settings tab, each job security role is divided into 3 parts as sub-tabs.Each sub-tab has a number of checkboxes and options that relate to specific job related security and workflow privileges. System administrators can create very detailed job workflow permissions by using a combination of the job security roles.

My Jobs: This section relates to any job that is assigned to the staff member (who is assigned this role) belonging to the skillgroup.

Other peoples jobs in this skillgroup: This section relates to jobs that are assigned to other people that belong to the same skillgroup as the staff member.

Unassigned jobs in this skillgroup: This section relates to jobs that are assigned directly to the skillgroup but not to a specific person within that skillgroup.

No Access, Read-only, and Permission based access

No Access: Selecting this option will restrict all access to jobs for the tab selected

Read-only: This will grant view only access to jobs for the tab selected

Permission based access: Access based on the selected options from the Item list for the selected tab. See details below

Changing priority: Refers to the ability to change the priority of a job

Removal of actions to do from a job: Refers to the ability to remove any linked Actions to do associated with the job

Promotion of child jobs: Refers to the ability to remove a child job from a parent, thereby making it a non-child job

Adding Actions: Refers to the ability to add any type of action to a job

Re-assigning: Refers to the ability to reassign of a job. Users can still action a job, but will not be able to reassign it

Changing status: Refers to the ability to change the status of a job. Users can still action a job, but will not be able to change the status

Reopening of closed jobs: Refers to the ability to reopen a closed job

Closing of Jobs: Grants or removes the ability to close jobs

Jobs to be closed that still have actions to do: If unchecked, users will not be able to close jobs that still have one or more Actions to do associated with the job

Jobs to be closed that still have uncompleted Workflow: The ability to close a Job even though its Workflow has not been completed

Updating other peoples Actions: Update an action added by someone other than you

Assigning Job Security Roles to staff members

Job security roles are assigned to staff members from the Staff tab of their Client screen (Staff user’s profile). This is done on a per skillgroup basis allowing different access to jobs for all skillgroups that the member belongs to. The staff user will have no access to any jobs in skillgroups that they don’t belong to however, they may still be able to create jobs and assign them to other skillgroups depending on their Application Security Role Job Security settings.
